Your choice is recorded with the date, so your office cannot change it for you. Background sending uses some battery and a small amount of mobile data on this phone. Read the privacy policy.
Check this is your email — the reset link will be sent to whatever address is below.
You followed a reset link. Choose a new password and type it twice.
You pay on Stripe's secure page. PinMap switches on as soon as the payment goes through. No VAT is added.
Leave it blank to sign as your name and company.
Up to 3 small pictures, each shrunk to fit. They sit under your sign-off in the order emails PinMap sends for you. Drafts you open in your own mail app stay text only.
Swap between your own logins — say your admin account and your site account — without typing a password each time. Remembered on this device only, so don't use it on a shared phone. Signing out forgets that account here.
Same colours either way, only the background changes. Remembered on this device.
What your pins get tagged with — change these to suit the trade. The short code is what shows inside the pin on the drawing.
What condition points are rated against — change these to suit the buildings you survey. Existing points keep whatever they were recorded with.
Office and super admins always see every job. Managers and operatives only see the jobs they're on.
Upload the architect's PDF straight in — pick the page, name the floor, done. The original file is kept so anyone can view the untouched drawing.
The office people emailed when someone on site presses Off-hire, so the hire company can be told the same day. Comma-separated. The person who pressed the button is copied in.
This removes your login and your profile from PinMap. You will be signed out, and this email can no longer sign in. You can't undo it.
The work you recorded belongs to your company's job records, so your pins, photos, notes, sign-offs and time sheet entries stay on the jobs with your name on them. To have any of that removed too, ask your office or email alex@ahaiautomation.com.
Add your own type, like Fire stopping. It is saved for the whole company, so every job can use it, and it shows in the same orange as the others. Managers can delete one here or with the x beside it.
First time only — about 10 seconds, longer on a phone. After this it opens straight away, for everyone on the job.
Extra work you were told to do that isn't in the contract. Log it the day it happens — the notice clock starts from the date below.
Same work repeated up the building? Tick the job once and it links the pin on every floor — one variation, not one per floor.
The links under Legal in everyone's profile. Tick "Only me" to keep a link out of everyone else's list.
Pick the damper schedule (Excel or CSV with floor, location and damper ID columns). One survey item is made per damper and put on the level's drawing where its ID is printed; any ID the drawing text doesn't have is parked at the left edge to place by hand.
Leave both blank for every level in the schedule.

An audit from PinMap or another program: a PDF report, an Excel or CSV schedule, a Word document, or photos of paper sheets. PinMap reads every finding into a list you can check and edit, with its photos; you put the ones you want on the drawings and Share this audit makes a new report with your company's logo and watermark. A PinMap audit comes back as findings (reference, level, location, finding, condition, action), not as its original check form. The original is kept in its own folder in Documents > Audits.
One file, or several photos of paper sheets at once.
Everything on the job stays as it is; only the code and name change.
A PinMap report or another program's survey: PDF, Word, Excel or photos of paper sheets. It becomes a new audit with the items, photos and notes, ready to edit and share again with your company's logo and watermark.
The items are the things you check (doors, dampers, boards). The template is the list of checks asked on each one; you pick it on the next step, whichever card you choose.
Start typing a check: PinMap suggests common ones and fills in their choices. Or tap a set under Suggested options, such as Full / Restricted / Limited. Retype a choice, move it with the arrows, or tap its dot to change its colour.
Paste the client's email or message, or upload it: a saved email (.eml or .msg), a PDF, Word or Excel file, or a screenshot or photo of it. An AI check lists every check they asked for, with the usual choices for each one. Where the client gave their own choices, those are used instead. You check it all before it is saved.
The suggestions change with the answer: a new installation is checked for different things from an existing system.
Drawings and anything else they need. They go in this audit's folder in Documents.
One item per line: reference, then level and location if you have them, split by commas. They can go on a drawing later.
Then tap the drawing where it is: its form opens with the reference counted on, the level from the drawing and the room from the last one. Change any of them there.
A question pointed at a spot on the drawing. Open it later to email it from your own address.
Pick the schedule (CSV, Excel, PDF or a photo of it) and the floors it covers. You check every placement before any pin is created.
The AI check read the drawing numbers and title blocks. These don't look like they belong with the rest, so pins could land in the wrong place.
Taken on the phone. Clients with a link raise their own — this is for the ones that ring.
Each client gets their own link to a branded call-out form. Anyone with the link can raise one, so switch a link off if it leaks rather than deleting the client.
Comma-separated. The first address is also the reply-to on the client's acknowledgement. Managers get a bell alert either way.
Confirmed site visits — where each operative needs to be, when, and what for. Managers and the office add them; the assigned operative sees them on their timetable.
Comma-separated. Who the office tells when a visit needs linking or confirming.
Short guided tours on the real screens. Nothing is saved or changed while a tour runs, and you can skip at any time.
Who quote requests get emailed to. One per trade is usual; switch one off rather than deleting it so old orders keep their history.
The office people emailed the order number when an order is sent as an SI (site instruction), so the materials get billed back. They also get an order's notes by email when an order with notes is placed (once per order). Comma-separated.
Quote requests for this trade get emailed here. It's picked on the order for you, and you can change it later under Wholesalers.
Which catalogues this company orders from. Pick one to three — the shared items (tools, fixings, consumables) are always included.
Item families the matcher may take from another trade's catalogue (comma separated). Such lines get a "Plumbing wholesaler" chip and move to a linked order for that wholesaler when the order is sent. Leave blank for the default list.
